Should my equipment hire include the rehearsal day?

Include every period when you need the equipment in your possession or installed at the venue, including checks and rehearsal. Give the supplier actual collection or delivery and return dates. Do not assume that the public performance dates alone define the hire, or that a published weekly rate explains every booking arrangement.

Work backwards from the first use

Ask when the equipment must first work, not just when guests arrive. A school show might need microphones for fitting and a technical rehearsal before opening night. A presentation system may need to be installed the previous afternoon because access is limited on the event morning.

If you collect equipment, include travel and the time needed to unpack and check the complete system. First-time users also need a realistic opportunity to become familiar with the controls and ask questions.

Agree the return, not just the finish

A show finishing late does not mean equipment can be returned immediately. Consider dismantling, packing, venue access, transport and the supplier’s agreed collection or return arrangements. If the venue must be cleared that night, say so before booking.

For a multi-day event, identify whether equipment stays installed or moves between spaces. Moving a system can create another setup and checking task, even though the equipment remains on hire throughout.

Ask how the dates affect the quotation

Send the full timeline and ask the team to confirm the chargeable hire period and any separate transport or staffing costs. Check how extensions or date changes are handled. Availability for an additional day should not be assumed simply because the original hire is confirmed.

The useful saving is a well-planned hire, not a shorter booking that removes necessary testing time. If the budget is tight, discuss the schedule and equipment priorities together rather than discovering the gap after collection.
