What needs checking before booking an outdoor stage?

Before booking, establish the stage use, site conditions, access, power and weather responsibilities. The structure and its operating limits must be appropriate to the actual site. Do not borrow wind limits, ballast amounts or anchoring arrangements from another event or a generic online guide.

Give the supplier a site brief

Provide photographs and a plan showing the proposed stage, audience, vehicle route and surrounding activity. Describe the ground surface and any slope, known underground services or restrictions. Identify who controls the site and can provide the necessary information.

Explain whether you need a platform only or a wider arrangement involving a roof, sound, lighting or scenic elements. Equipment attached to or supported by a structure needs to be part of the planned specification, not introduced casually during setup.

Agree the weather process

Outdoor structures and support equipment need conditions and limits established by the responsible supplier or designer. The event team needs to know how local weather is monitored, who makes decisions and what actions follow changing conditions.

A forecast checked several days earlier is not the whole process. Keep the responsibilities and communication route clear through the event. Do not ask crew to continue using an arrangement outside its agreed limits to preserve the programme.

Coordinate power, access and working time

Share the electrical requirement with competent specialists, including supply access, cable routes and the outdoor environment. Explain how vehicles reach the site for installation and removal, and whether that route could change if conditions deteriorate.

Allow for a controlled working area during the build and breakdown. The audience event is only part of the schedule. Ask how the stage is handed over, what documentation accompanies it and who reviews any late change to its use.

  • Installation/removal access and programme timings.
  • Weather monitoring, decision making and communications.
